Selection Process

 It is our job to match the right tenant to the right property! We look for tenants that will take on the responsibility of caring for the property and treating it with respect and consideration. We will not recommend a tenant to you unless they meet the standards on every criteria. Only when we are satisfied of this, will we contact you for your final approval. We have a stringent selection process that reduces the risk to your property.

Steps in Tenant Selection Process:

  • A thorough inspection of the property
  • Where possible, a personal interview with the prospective tenant
  • Verifying the identity of the applicant by drivers license, passport and other official documentation
  • Verifying the applicant’s rental history by contacting previous lessors/agents
  • Checking TICA* for any default history by the applicant
  • Verifying the applicant’s ability to meet rental payment obligations by confirming employment details and/or other sources of income
  • Checking the applicant’s suitability to the property

*TICA (Tenancy Information Centre of Australia and New Zealand) is a web based program that monitors the rental industry in Australia and New Zealand for subscribing members. It registers defaulting tenants on rent and damage to previous rental properties and any other issues. Every tenant must have a clear record just like a credit check. We attach a copy of this clear record to your approved tenant’s application for peace of mind.

Privacy

Every applicant signs a Privacy Act Acknowledgement Form which enables us to check to make sure that they are a high quality tenant before we place them in your property.

Inspections

 We carry out routine inspections on your property every 3 or 6 months depending on your preference. We invite all of our owners to accompany us when we are inspecting your investment property. Please give us a call to arrange.

We make rental payments easy

We provide easy, convenient options for tenants to make rental payments. All tenants are given the following options for rental payments:

  • Payment by cash, cheque or EFTPOS in our office
  • Deposit directly to our Trust Account
  • Internet Banking
  • Centrepay

 

Repairs & Maintenance

Prompt attention to legitimate repairs and maintenance can be the difference between disgruntled tenants and happy tenants. It is also a vital part of maintaining the value of your property and achieving the best rental return. We have established a team of reliable, competent tradespersons who are available at call to attend to all types of repairs and maintenance. We constantly monitor the performance of our contractors in relation to cost, service and quality of work performed. All our contractors must enter in to a contract with us which states that they are licensed tradespeople and that they have their own contractor insurance and public liability insurance. Or, if you’d like, we can use any specific tradespersons you may prefer.

We manage your paperwork

The Residential Tenancies and Rooming Accommodation Act governs rentals and provides all the forms that are required to be issued at certain periods during the tenancy. Each form has established procedures and guidelines under which it must be completed and forwarded to the tenant. Failure to follow these procedures and guidelines can result in substantial fines by the RTA, in addition to placing your tenancy agreement in jeopardy.

To ensure all owners’ legal rights are protected, we will make sure that all documentation required by law is professionally prepared on your behalf. We will ensure that all the necessary forms are completed correctly and administered correctly so that your property’s tenancy is not placed under any unnecessary risk.

The most important document relating to any tenancy is the General Tenancy Agreement and it is essential that this form be completed correctly so that there are no loopholes which may legally allow a tenant to exit a tenancy agreement early.

What can you expect from us?

Prior to Tenancy

A full and detailed inspection of your property is conducted (Entry Condition Report).  An Entry Condition Report and a full copy of photographs taken of the property at the inspection are given to the tenant to check.  The tenant has 3 working days to check and return to our agency at which time it is saved electronically.  We use this again when the tenant vacates the property to ensure there has been no damage to your investment.

During Tenancy

 Regular inspections are an important part of managing your property as they provide information as to the condition of the property. This assists in determining new rent levels at rent reviews and also alerts us to any potential problems or expenses.  In addition, they remind the tenants that someone has a continuing interest in the property.

We understand that there needs to be a balance between inspections that ensures the tenant is upholding their responsibilities in caring for the property and at the same time minimise any inconvenience to tenants who are doing the right thing.

Our first routine inspection is usually within the first 8 weeks of the tenancy.  After this, we decide when the next inspection will be done which is normally every 6 months but it will also depend on:

  • Any outstanding maintenance that we may need to follow up on shortly after our initial inspection.
  • The nature and history of the tenant such as the condition of the property presented at previous inspections and rental payment history.
  • Any inspections you may wish to carry out with us.

After every inspection of your property we will:

  • Send you a report outlining the condition of the property, including photographs if applicable;
  • We will detail the manner in which the tenants are maintaining the property; and,
  • We will discuss with the tenant any areas that require attention or improvement.
